How to host the perfect event
As Christmas approaches, many will be looking to host an event of some kind. Whether a Christmas party, networking event or industry-specific seminar, there are some key points to consider when pulling together the perfect event:
Top tip #1 - have a purpose
With so many opportunities to network, mingle and train, it’s important that you give people a substantial reason why they should take time out of their lives to attend your event. Give them something that they’ll value – whether it’s insight from a knowledgeable speaker, an opportunity to mix and mingle with industry leaders or the chance to unwind with colleagues and friends in an exciting and unique atmosphere. Whatever the reason, expecting people to attend without a significant benefit as to why they should, is unlikely to work.
Top tip #2 - establish your objectives
Before you set about pulling together the perfect event, take a moment to consider what it is you are trying to accomplish. What will the ideal event help you to achieve? How will you know it’s been successful? Without these measures in place before the event takes place, it will be difficult to identify how successful it’s been once it has happened.
Top tip #3 - be aware
It’s easy to get wrapped up in the finite detail or just take a big picture outlook – marrying them together is obviously key to the best events. Be careful not to get too focused on particular aspects of event management to miss glaring errors – for example, talking about how brilliantly you handled the foot and mouth crisis is perhaps not the most appropriate after dinner address.
Top tip #4 - remember the details
Ordering coffee canisters might seem an inconsequential detail compared to booking an elite speaker but forgetting to do so could leave you with a room full of annoyed and dissatisfied attendees, unlikely to recommend and re-attend any future events. Isn’t this a bit like the point above?
Top tip #5 - plan for the unexpected
Have a contingency plan in place to cater for the unexpected. Know where the fire exits are, plan what you’d do if your speaker is detained, etc. The key to a successful event is to know what to do when things go wrong and to make the process look seamless.
Top tip #6 - enjoy yourself
Events are supposed to be fun. Enjoy yourself and the event management process. Or if you can’t, call in experts to manage the event for you.
